Employment Visa Renewal in the UAE

Renewal is the employer job, which is exactly why it gets missed. Nobody feels the deadline until the employee cannot open a bank account.

How do you renew a UAE employment visa?

The employer renews the work permit and the residence visa before expiry. The employee repeats the medical fitness test and Emirates ID renewal, health insurance must be valid for the new term, and the labour contract is renewed alongside. Dependants are renewed once the employee visa is in place.

What has to be in place before filing?

A valid passport with enough remaining validity, health insurance covering the new term, and an agreed labour contract. Any of the three missing stalls the renewal, and passport validity is the one that surprises people because it looked fine last year.

Where the company has moved premises or changed its trade licence details, that has to be current too.

  • Passport validity checked well ahead
  • Insurance covering the coming term
  • Labour contract agreed and current
  • Company licence and establishment details up to date

Why do dependants come after?

Because their residence is derived from the employee. Until the employee visa is renewed there is nothing for a dependant visa to attach to, so a family renewal is genuinely sequential rather than parallel.

That is worth building into the timeline, because a family of four means four sets of appointments after the principal is done.

  • Employee renewal completes first
  • Dependant renewals follow
  • Each dependant has their own medical and Emirates ID
  • Build the extra time into the plan

What happens if it lapses?

Fines accrue, and the employee is out of status, which affects banking, driving and travel long before anyone at the company notices. For dependants it cascades, because their status depends on the principal.

It is recoverable, and the sooner it is addressed the smaller the problem. Delay is what turns an administrative slip into something serious.

  • Fines accrue after expiry
  • Out-of-status affects banking, driving and travel
  • Dependants are affected through the principal
  • Recoverable, but only gets worse with time

What can employers do to stop this recurring?

Track expiry dates centrally rather than relying on individuals to remember. Most companies that get caught out are ones where the PRO left, or where a spreadsheet stopped being maintained after a reorganisation.

We will hand back a dated schedule for every person we renew, which is a small thing that prevents the same fire next year.

  • Central tracking rather than individual memory
  • Reminders ninety days ahead, not thirty
  • One owner for the renewal calendar
  • Handover when a PRO or HR contact changes

How we run an employment renewal

  1. We check every expiryEmployee, dependants, passport, insurance and trade licence.
  2. Pre-file correctionsAnything out of date is fixed before the application, not during it.
  3. Work permit and visa renewalFiled with the employer through the correct channel.
  4. Medical and Emirates IDBooked and attended for the employee.
  5. Dependant renewalsRun once the principal is complete.
  6. Dated scheduleEvery renewal date handed back, so next year is planned.

What to confirm before renewing

The four things that stall an employment renewal
ItemWhat to check
Passport validityEnough remaining validity for the new term
Health insuranceCovers the coming term and every dependant
Labour contractAgreed, current and reflecting actual terms
Company recordsTrade licence and establishment details current
The mistake we see most: Assuming the employee will flag their own expiry. They frequently do not know the date, because the visa lives in a passport they rarely look at. The obligation sits with the employer, so the tracking has to sit there too.
MSM tip: Check passport validity at the same time as visa expiry, every year. A passport with only a few months left will block a renewal, and renewing a passport through a consulate takes longer than the visa renewal itself.

What documents do you need?

What we need

Current visa and Emirates ID for the employee
Passport with sufficient remaining validity
Health insurance valid for the coming term
Current labour contract
Company trade licence and establishment card
Dependant visa and passport copies

The item that most often stalls a renewal is passport validity. Check it first, because a passport renewal through a foreign mission can take longer than everything else combined.

QUESTIONS & ANSWERS

Frequently Asked Questions

Who renews an employment visa?
The employer, through MoHRE and immigration for a mainland company or through the free zone authority. The employee completes the medical and Emirates ID steps.
Do I need another medical?
Yes, the medical fitness test is repeated at renewal, along with Emirates ID renewal.
When should we start?
Ninety days ahead is sensible, particularly if passports are close to expiry or a family is involved.
Can dependants renew at the same time?
Not at the same time — after. Their residence derives from the employee visa, so the principal has to complete first.
What if it has already expired?
Fines accrue and the employee is out of status. It is recoverable, and acting immediately keeps it small.
Does the labour contract need renewing too?
Yes, it is renewed alongside the permit and should reflect the actual terms of employment.
